Impro Access Portal + StaffPass

For Impro Portal estates

Your estate runs Impro Portal. StaffPass handles the domestic staff paperwork around it.

Impro Portal decides who gets through the gate. StaffPass connects to the same Portal database to renew domestic worker and driver access before it lapses, with the employing resident approving by SMS or WhatsApp, and turns every turnstile transaction into a timesheet residents can read.

No new readers, tags or hardware. Runs beside Portal on your estate's own server.

The gap

The gate is automated. The work around domestic staff isn't.

On most Impro Portal estates the security office still checks expiry dates by hand, chases residents on WhatsApp for a yes, types the new date into Portal, and answers residents who want to know when their domestic worker arrived. StaffPass takes over each of those jobs.

Impro Portal on its own With StaffPass
Expiry dates checked in Portal or a spreadsheet Every expiry in the next 30 days found each night
Residents phoned or messaged for approval An approval link by SMS or WhatsApp to the employing resident
The new expiry typed into Portal by hand Written into Portal on security approval, and put back if reversed
Transactions only the security office can see Shifts, timesheets and arrival messages for each resident
Departments limited to Domestic and Driver Gardener, Nanny or Caregiver labels, kept outside Portal

How it connects

Reads almost everything. Writes almost nothing.

StaffPass connects to the SQL Server database behind Impro Portal. The department and field numbers it uses are settings, so they match the way your estate has set Portal up.

What StaffPass reads

  • Domestic workers and drivers, with their access expiry dates
  • Residents, with their phone and ERF numbers, to know who employs whom
  • The security department, to decide who may sign in to the security screens
  • Turnstile transactions, about once a minute, including refused entries

What StaffPass writes

  • The new access expiry and current status, only when security approves a renewal
  • The original expiry, put back if security reverses that approval
  • Details a security officer deliberately edits, each one recorded with who made the change
  • If Portal refuses a write, nothing is marked approved, so the two never disagree

What it adds

What Impro Portal estates get with StaffPass.

Renewals before access lapses

Domestic worker and driver access licences checked every night against your renewal window, with approvals about to lapse flagged to security.

Resident approval by SMS or WhatsApp

One link to the household that employs the worker. No app, no password, and a declined renewal comes with a reason.

Timesheets from turnstile taps

Every Portal transaction becomes a shift. Residents correct a missed tap with a reason and export the month to CSV for payroll.

My Staff for every household

Residents see who is on the property, each worker's week and anything unusual, including staff shared with another household.

Arrival and departure messages

Named by gate and time, sent only with the worker's consent, with each resident's own choice of messages and quiet hours.

An audit trail Portal doesn't keep

Who approved each renewal and when, every settings change with its old value, and every edit made through StaffPass.

Installed beside Portal, live one step at a time.

One installer on the Windows server that already runs Portal.

  1. 1
    Shadow mode

StaffPass reads Portal and builds every message, but sends them all to your security manager.

  2. 2
    Beta group

A handful of named households receive real messages, with your security manager copied.

  3. 3
    Whole estate

Every employing resident receives their approval links and, with Timekeeping, My Staff.

FAQ

Questions Impro Portal estates ask.

More in the main FAQ, or book a demo and ask us directly.

Does StaffPass change how Impro Portal works?

No. Readers, turnstiles, tags and biometrics carry on exactly as before, and staff are still enrolled at the security office in Impro Portal. StaffPass only reads from the Portal database, except for the renewed expiry date it writes on a security approval and the details a security officer deliberately edits.

Which Impro Portal data does StaffPass use?

The person records for your domestic, driver, resident and security departments, with their phone and ERF numbers and access expiry dates, and the turnstile transaction log. Which department and field numbers to use is a setting, so it matches how your estate has set Portal up.

Where does StaffPass run?

On the estate's own server, usually the same Windows server that hosts the Portal database, in containers that restart on their own after a reboot. Nothing is hosted centrally, and an optional outbound-only tunnel lets residents open their links from outside the estate network.

Is StaffPass made by Impro?

No. StaffPass is an independent product. It is not affiliated with or endorsed by Impro Technologies; it works with the Impro Portal database your estate already owns.
